How to Check If a Business Is Legit

Check the Business Registration and Legal Status

Before doing business with any company, verify that it actually exists as a registered legal entity. Every legitimate business operating in the United States must register with either state or federal authorities, depending on its structure. This creates a paper trail that you can follow to confirm the business is real.

Start by visiting your state's Secretary of State website. Most states maintain searchable databases where you can look up registered businesses by name. You'll typically find information about when the business was formed, its registered address, and the names of owners or officers. If a business claims to operate in your state but doesn't appear in this database, that's a red flag.

For federal businesses, the System for Award Management (SAM.gov) database lists all companies registered to do business with the federal government. If a company claims federal contracts but doesn't appear here, investigate further. Additionally, you can search the Better Business Bureau's database at bbb.org, which tracks complaints and ratings for thousands of businesses. While a BBB listing doesn't guarantee legitimacy, the absence of any online registration combined with BBB complaints suggests caution.

You should also check for business licenses specific to the industry. For example, contractors need construction licenses, financial advisors need securities licenses, and insurance agents need insurance licenses. These requirements vary by state and profession. Many state licensing boards publish online registries where you can verify someone holds an active license. A company that claims expertise in a regulated field but can't produce a license number is likely not legitimate.

Additionally, look up the business address in Google Maps or visit it in person if possible. Legitimate businesses typically maintain physical locations that match their registration records. Businesses operating solely from a virtual mailbox or someone's home might still be legitimate, but if they claim to operate a large office building and the address doesn't exist, that's concerning.

Practical takeaway: Spend 15 minutes checking your state's Secretary of State database and the Better Business Bureau before engaging with any business you haven't worked with before.

Research Online Presence and Customer Reviews

A company's online presence offers valuable clues about whether it operates legitimately. Start by searching the business name plus the word "reviews" to see what customers have written. Look for patterns in feedback rather than focusing on single complaints or praise, since one unhappy or overly happy customer doesn't tell the full story.

Pay attention to review platforms like Google Reviews, Trustpilot, Yelp, and industry-specific sites. Legitimate businesses typically have multiple reviews across different platforms spanning months or years. If a business suddenly appears with dozens of five-star reviews posted within days, or if reviews appear only on their own website, that suggests manipulation. Conversely, some legitimate businesses have few reviews simply because they're new or operate in niche markets.

Check the language and content of negative reviews carefully. Real customer complaints usually contain specific details about transactions, delivery dates, or specific problems. Generic complaints like "total scam" without details might be from competitors. However, if you see patterns—multiple people describing the same unresolved problem across different review sites—take that seriously.

Examine the business website itself. Professional websites typically include clear contact information, a physical address, phone numbers that actually work, and detailed product or service descriptions. Be cautious of websites with multiple spelling and grammar errors, generic stock photos with watermarks, or vague descriptions of what the company actually does. Legitimate businesses invest in their online presence because their reputation depends on it.

Look for professional credentials and certifications displayed on the website. These should be verifiable through independent organizations. For instance, if a financial advisor claims to be a Certified Financial Planner, you can verify this through the Certified Financial Planner Board at cfp.net. If credentials can't be independently verified, they're likely fabricated.

Practical takeaway: Read at least 10-15 detailed customer reviews across multiple platforms, looking for patterns rather than individual opinions. Verify any stated credentials through the organizations that issue them.

Verify Contact Information and Communication Channels

Legitimate businesses maintain multiple, active channels for customers to reach them. Scam operations often avoid direct contact because they don't want to leave traceable communications. Test every communication method a business provides before committing to any transaction.

Call the business phone number and speak to a real person. Note whether someone answers promptly, whether they can answer basic questions about the company, and whether they transfer you to appropriate departments. Scam operations might have voicemail systems that never get checked, automated systems that don't work properly, or people who can't answer basic questions about their company. Legitimate businesses with even small teams typically have working phone systems.

Send an email to the company's main address and see how quickly they respond. Most legitimate businesses respond within 24 hours. If you don't hear back within several days, or if the response is generic and doesn't address your specific question, that's concerning. Similarly, look at whether the business uses a professional email address (like contact@companyname.com) or a free email service (like gmail.com). Established businesses use professional email domains.

Check whether the business has active social media accounts. Look at the posting frequency and engagement. Do they respond to customer inquiries? Are posts recent or from years ago? A business that stopped posting on social media months ago might indicate operational problems. However, not every legitimate business maintains active social media—this is one factor among many.

Be wary of businesses that only communicate through text messaging, social media direct messages, or platforms where conversations disappear. Legitimate businesses want documentation of agreements and communication. If someone pressures you to communicate only through informal channels, they're probably trying to avoid a paper trail.

Search the business name combined with phrases like "customer service complaints" or "won't respond." If multiple customers report that the company ignores communication attempts, that's significant evidence of a problem.

Practical takeaway: Before sending money, contact the business through at least two different channels—phone and email—and confirm you can reach actual people who can answer questions about their operations.

Examine Payment Methods and Financial Red Flags

How a business handles payment reveals much about its legitimacy. Legitimate businesses use standard payment methods that offer consumer protection. Scam operations often push payment methods that are difficult to reverse or trace.

Be cautious if a business insists on payment only through wire transfers, cryptocurrency, gift cards, or money orders. These payment methods typically cannot be reversed once sent, and money sent this way is nearly impossible to recover. Legitimate businesses accept credit cards, debit cards, and bank transfers because these methods benefit both the customer (protection against fraud) and the business (faster processing and fewer disputes).

Check the business's payment processor. Many illegitimate operations get rejected by major payment processors and resort to lesser-known options. You can sometimes see payment processor information at checkout. Payments through established processors like Stripe, Square, or PayPal suggest a business has passed background checks, though this isn't foolproof.

Examine pricing carefully. If prices seem unusually low compared to competitors, understand why. Sometimes legitimate businesses offer better prices through volume discounts or lower overhead. Other times, low prices indicate either a scam (where you'll never receive goods or services) or an unsustainable business model that will collapse. Ask yourself whether the pricing makes logical sense given the costs involved.

Look for hidden fees. Legitimate businesses disclose all fees before you complete a purchase. If a company adds surprise fees at checkout or fails to mention ongoing fees, that's unethical at minimum. Some businesses use deceptive practices like auto-enrollment in subscription services that customers must actively cancel.

Research the business's refund policy. Legitimate companies publish clear refund policies before you buy. Policies should state timeframes, conditions, and how refunds are processed. Be suspicious of policies with excessive restrictions or no refund option at all, especially for high-value purchases or services.

Practical takeaway: Never use untraceable payment methods like wire transfer, cryptocurrency, or gift cards for unfamiliar businesses. Insist on payment methods that offer fraud protection, and carefully read all terms about fees and refunds before completing any purchase.

Investigate Company History and Ownership Transparency

Legitimate businesses are generally transparent about who owns them and how long they've operated. Scam operations often hide these details or frequently change them to evade accountability. Use available public records to investigate a company's background.
