Learn About Finding Your Federal Employer Identification Number

Understanding What an EIN Is and Why You Might Need One

A Federal Employer Identification Number, commonly called an EIN, is a nine-digit number that the Internal Revenue Service (IRS) assigns to businesses and other organizations. The format is XX-XXXXXXX, such as 12-3456789. This number works similarly to a Social Security number but is used for business purposes instead of personal identification.

The IRS uses EINs to track business tax accounts, payroll records, and financial information. If you operate a business, nonprofit organization, partnership, corporation, or other entity, you may need an EIN to conduct various financial and legal activities. The number becomes your business's identifier in the federal tax system.

According to IRS data, millions of EINs have been issued since the system was established. The IRS issues approximately 2 million new EINs each year to businesses and organizations across the country. This shows how common it is for business owners to obtain this number as part of normal business operations.

Several types of organizations typically obtain an EIN. These include sole proprietorships that hire employees, partnerships, corporations, limited liability companies (LLCs), nonprofits, trusts, estates, and government agencies. Even some self-employed individuals may need an EIN depending on their business structure and whether they have employees.

Practical takeaway: An EIN is a nine-digit identification number the IRS assigns to businesses and organizations. Understanding what an EIN is helps you determine whether your business situation requires obtaining one and how it fits into your business operations.

Situations Where You May Need to Obtain an EIN

Not every business owner needs an EIN. The IRS has specific guidelines about who should have one. Understanding these situations helps you determine whether obtaining an EIN applies to your business structure.

If you operate a business and hire employees, you almost certainly need an EIN. Federal law requires employers to have an EIN to report payroll taxes, Social Security, and Medicare withholdings. Even one part-time employee triggers this requirement. The EIN becomes the identifier on payroll tax forms like the W-2 and quarterly payroll tax returns.

Businesses structured as corporations or limited liability companies (LLCs) typically need an EIN regardless of whether they have employees. The IRS treats these business structures as separate entities from their owners, and the entity itself needs identification in the tax system. This applies even if the corporation or LLC generates little to no income in its first year.

Nonprofit organizations must obtain an EIN to conduct business activities. This includes churches, charities, educational organizations, and community groups. The EIN becomes part of the nonprofit's tax-exempt status application and is used on all tax filings and financial documentation.

Partnerships, including general partnerships and limited partnerships, need an EIN for tax reporting purposes. The partnership files its own tax return with the IRS using the EIN, even though individual partners report their share of profits on personal tax returns.

Self-employed individuals operating as sole proprietorships typically do not need an EIN unless they hire employees. However, some sole proprietors may choose to obtain an EIN for business banking or other purposes. Additionally, if you operate a business with a name different from your personal name and maintain a separate business bank account, you might obtain an EIN even as a sole proprietor.

Other situations requiring an EIN include operating certain types of businesses (like those dealing with excise taxes or alcohol), creating a trust or estate, hiring household employees, or being a foreign individual needing an Individual Taxpayer Identification Number (ITIN).

Practical takeaway: Review your business structure and staffing plans. If you operate as a corporation, LLC, or partnership, or if you plan to hire any employees, you likely need an EIN. Understanding these situations prevents complications later in your business operations.

The Process for Obtaining Your EIN: Online, Phone, Fax, and Mail Options

The IRS offers multiple methods to obtain an EIN, and most business owners can complete the process quickly using the online system. Each method has different timelines and requirements, so knowing your options helps you choose what works best for your situation.

The fastest method is applying online through the IRS website. Eligible applicants can receive an EIN immediately online using the IRS's EIN Assistant tool. The online process is free and typically takes about 15 minutes to complete. You answer questions about your business, verify the information, and the system assigns your EIN on the spot. You receive the number on your screen and can print a confirmation document.

To apply online, you need specific information about your business. Have your Social Security number or ITIN ready, along with details about your business structure, location, and activities. You'll provide information about the responsible party—typically the owner or manager of the business. The system asks about the type of business entity, the date you began operations, and the principal business activity.

If you prefer speaking with an IRS representative, you may telephone the IRS Business and Specialty Tax Line at 1-800-829-4933. Calls are generally returned within one business day. During this process, you provide your information verbally, and the IRS representative assigns your EIN over the phone. You'll receive the number during the call and can request a confirmation letter to be mailed.

Faxing Form SS-4 (Application for an Employer Identification Number) to the IRS is another option. You complete the form, sign it, and fax it to the appropriate IRS fax number for your region. Processing times for fax submissions are typically two to four business days. The IRS mails your EIN confirmation to your address.

Mailing Form SS-4 is the traditional method, though it takes longer. Processing time is typically four weeks from when the IRS receives the form. You complete the form, sign it, and mail it to the appropriate IRS address based on your location. This method is useful if you're not comfortable with online applications or phone calls, or if you have complicated business circumstances.

Foreign applicants and certain specific situations may require different procedures. The IRS has specialized processes for taxpayers without a U.S. Social Security number or those applying from outside the United States.

Practical takeaway: Most business owners should use the free online application through the IRS website, which takes about 15 minutes and provides immediate confirmation. If you prefer phone assistance or have limited internet access, other methods are available with different timelines.

Information You'll Need to Gather Before Applying

Gathering the right information before starting your EIN application prevents delays and mistakes. Having everything prepared makes the process smoother, whether you apply online, by phone, or through the mail.

First, prepare personal identification information. You'll need your Social Security number or Individual Taxpayer Identification Number (ITIN). This identifies you as the responsible party for the business. If someone other than you will be responsible for the business (such as a partner or manager), you'll need their Social Security number or ITIN instead.

Next, gather information about your business structure. The IRS asks you to classify your business in one of several categories: sole proprietorship, partnership, corporation, S corporation, LLC, nonprofit, trust or estate, or other types. You should understand which category describes your business before applying. This classification affects how the IRS administers your account and what tax forms you'll file.

You'll provide your business location information. Have your principal business address ready—this is where you operate or manage your business, not a mailing address. Include the street address, city, state, and ZIP code. If your mailing address differs from your business address, have that information available too.

The IRS asks about your business activity. Prepare a description of what your business does. Examples might include "plumbing contractor," "consulting services," "retail clothing store," or "nonprofit community center." You may also need a more specific code describing your industry, though the IRS can help you identify the correct code if you're uncertain.

Document the date you began or will begin business operations. This might be the date you opened your doors, hired your first employee, or started taking orders. If you're purchasing an existing business, have the date you take ownership ready.

If you're applying as a partnership, corporation, LLC, or other business entity, you may need the legal name and document number for your business. This is the name you registered with your state, along with any state filing numbers or incorporation
