Learn How to Schedule a Google Meet Video Call

Understanding Google Meet and Its Core Features

Google Meet is a video conferencing platform created by Google that allows people to connect face-to-face through their computers, tablets, or smartphones. The service became widely used starting in 2020, with reports showing that Meet handled over 3 billion meeting minutes per day at its peak usage. Unlike some video platforms that require paid subscriptions for basic features, Google Meet offers core video calling capabilities at no cost to users who have a Google account.

The platform works by connecting participants through the internet, allowing them to see and hear each other in real time. A single meeting can include up to 100 participants when using the free version, though time limits apply to group calls. Google Meet integrates with other Google services like Gmail and Google Calendar, which means scheduling and joining meetings can happen directly from these applications. The service uses encryption to protect the video and audio data being transmitted, adding a layer of security to conversations.

Before scheduling a meeting, it's worth understanding what you'll need. You must have a Google account, which is free to create. You'll need a device with internet access—a computer, tablet, or smartphone all work. A webcam and microphone are necessary for video and audio, though most modern devices have these built in. Additionally, participants who join your meeting will need their own Google accounts or can join as guests using a link you provide.

Google Meet differs from some competing platforms in that it doesn't require participants to download software to join a meeting. They can join directly through a web browser, making participation simpler for people who may not be comfortable installing new programs. The interface shows participant names, allows you to see multiple people at once, and provides options to mute audio, turn off video, or share your screen during the call.

Practical takeaway: Verify that your device has a working webcam, microphone, and stable internet connection before your first scheduled meeting. Test these components by opening Google Meet on your web browser and selecting the camera and microphone test option available in the settings menu.

Step-by-Step Process for Scheduling a New Meeting

Scheduling a Google Meet video call involves several straightforward steps that can be completed in minutes. The most direct method is to visit Google Meet's official website at meet.google.com. Once you arrive at this page and are signed into your Google account, you'll see options to either start a meeting immediately or schedule one for later. To schedule a meeting, look for the button labeled "Create a meeting" or "Schedule with Google Calendar," which will vary slightly depending on your interface version.

When you select the schedule option, you'll be guided to Google Calendar, Google's scheduling tool. This is where you'll enter the essential details about your meeting. You'll need to provide a meeting title—this should be something descriptive so participants understand the purpose. For example, "Team Weekly Standup" or "Doctor's Appointment Video Visit" are clear titles. Next, you'll select the date and time you want the meeting to occur. Google Calendar displays your existing commitments, so you can choose a time slot that doesn't conflict with other events.

The calendar interface lets you set how long you expect the meeting to last. Most meetings can be scheduled for any duration from 15 minutes to several hours. Google will automatically create a video meeting link and associate it with your calendar event. This link is what participants will use to join your call. You have the option to add a description in the event details, which is useful for providing context, agenda items, or instructions for participants who may be joining for the first time.

After entering these details, you'll add participants by typing their email addresses into the guest field. As you type, Google Calendar will suggest email contacts from your existing contacts. You can add as many people as needed—whether it's two people or 100. Once you've entered all participant email addresses, Google Calendar will send them an invitation via email that includes the meeting link. Participants can click the link directly from the email to join at the scheduled time.

The system also allows you to set whether the meeting is open to everyone with the link or restricted to invited guests only. For privacy, you might choose to restrict access. You can also add reminders so that you receive notifications before the meeting starts—options typically include 24 hours before, 1 hour before, or 15 minutes before the scheduled time.

Practical takeaway: When creating your first scheduled meeting, use the option to send yourself a test email invitation to verify that the meeting link works correctly. Click the link from that test email to confirm it opens Google Meet properly and that you can see and hear audio and video from your device.

Using Google Calendar Integration for Efficient Scheduling

Google Calendar serves as the central hub for managing your Google Meet video calls. When you schedule a meeting through Google Meet, it automatically appears on your calendar, creating a unified view of all your commitments and video calls in one place. This integration means you won't have to manage meeting information in multiple locations. If you're already using Google Calendar for other appointments, adding video meetings fits naturally into your existing routine.

The calendar interface provides several advantages for meeting management. You can color-code your video meetings differently from other types of appointments, making them visually distinct at a glance. You can also set different notification preferences for different types of meetings. For instance, you might want a reminder 15 minutes before a casual team check-in but 24 hours before a formal presentation meeting. These preferences are set when you create the event and can be changed later if needed.

One particularly useful feature is the ability to edit a meeting after you've scheduled it. If you need to change the time, add more participants, or update the description, you can do this directly in Google Calendar. Any changes you make are automatically reflected in the meeting invitations sent to participants. If you reschedule, Calendar can optionally send updated invitations to all guests so they know about the new time. This prevents confusion about when the meeting will occur.

Google Calendar also allows you to view your meeting details on mobile devices through the Google Calendar app. This means you can check your upcoming video calls and join them from your phone or tablet while on the go. The meeting link is easily accessible from the calendar event, making it simple to join even when you're not at your regular computer workspace.

For people managing multiple calendars—such as a personal calendar and a work calendar—Google Meet works with all of them. You can choose which calendar a particular meeting should appear on when you're creating the event. This organizational feature helps keep work and personal commitments separated if that matters for your situation.

If you frequently schedule meetings with the same group of people, you can create a contact group in Google Contacts and add that entire group at once when creating a new meeting. Rather than typing individual email addresses each time, you simply select the group name. This saves time when organizing recurring team meetings or regular family calls.

Practical takeaway: Create a contact group for people you meet with regularly. In Google Contacts, select "Create a label" and add the email addresses of people you frequently meet with, such as your team members or family. Then when scheduling meetings, you can add this entire group at once instead of entering individual addresses.

Managing Participants and Sending Invitations

Once you've created your meeting in Google Calendar, managing who attends and how they receive invitations becomes important. Google Calendar provides several options for controlling participant access. When you add someone's email address as a guest, Calendar automatically sends them an invitation. They'll see the meeting details, including the date, time, and the video meeting link. Recipients can click a button to indicate whether they plan to attend, providing you with a count of expected participants.

You have control over whether participants need to be invited specifically or whether anyone with the meeting link can join. For public or open meetings, you might choose to share the link broadly. For confidential or private meetings, you can restrict the meeting so that only people you've specifically invited can access it. This setting is configured when you create the event and can be adjusted afterward if circumstances change.

If someone doesn't have a Google account, they can still join your meeting. You'll share the meeting link with them through email, text message, or another communication method, and they can click it to join without needing to sign in. They may be asked to enter their name before entering the video call, and you'll be notified that an unregistered participant is requesting access to the meeting. This flexibility makes it possible to include people regardless of whether they use Google services.

Google Calendar tracks responses to invitations, showing you who has accepted, declined, or hasn't responded yet. You can view this information from the event details on your calendar. If someone hasn't responded and the meeting is
